HAMMOON MANOR GUEST TERMS & CONDITIONS

Reservations for accommodation by you (the guest) are accepted by us, the property owners, subject to the following terms and conditions.

OUR CONTRACT: This contract for a short-term holiday rental will be between 'Hammoon Manor' (referred to as "Hammoon Manor" or "We/Us") and the person making the booking and all members of the holiday party (referred to as "Guest(s)" or "You/Your") as outlined in the following booking conditions. The contract becomes effective once we receive payment in 'cleared funds' and issue a confirmation of booking for the selected holiday dates. The party leader making the booking must be at least 25 years old, and prior to your arrival, we require a list with the names and ages of all guests.

ONLINE BOOKING PROVISIONAL UNTIL CONFIRMED: If you book through our online reservation system, you will receive an automatically generated booking summary via email. However, this summary does not form a contract between us. A contract will only be established when your booking is confirmed by post or email. We reserve the right to refuse a booking without providing a reason.

PAYMENT: A deposit of 30% of the holiday price is due at the time of booking. For bookings made less than 42 days (6 weeks) before your arrival date, the full amount of the holiday charge is required. The balance must be paid no later than 42 days (6 weeks) before your arrival date.

CANCELLATIONS BY YOU AND REFUNDS: If you wish to cancel your stay, you must provide written notice via email from the same email address used for the original booking.

If you cancel more than 42 days (6 weeks) before your intended arrival date, you have the option to either (a) reschedule your booking for a later date and apply the amount paid towards the new stay, or (b) cancel your stay. If you choose to cancel and we successfully relet the accommodation for the same period under similar terms, your deposit will be refunded and released on your original departure date. In all other circumstances, the deposit is non-refundable.

If you cancel within 42 days (6 weeks) of your intended arrival date, and we are unable to relet the accommodation for the same period under similar terms, you will not be entitled to a refund of any accommodation payments, and any outstanding balance remains payable.

In exceptional circumstances, if we consider your cancellation to be justified, we may, at our discretion, agree to reschedule your booking for a later date and apply the amount paid towards the new stay. Please note that in the event of cancellation, we may charge a 5% administrative fee based on your booking fee to cover the time spent relisting and remarketing the accommodation.

We strongly recommend that you take out travel insurance to cover the possibility of cancelling your stay.

CANCELLATION BY US AND REFUNDS: We reserve the right to cancel any booking at our discretion and without providing a reason. While we anticipate such situations to be exceptional, we will notify you of our cancellation as soon as possible. In the event of our cancellation, we will promptly refund all payments made by you, and our liability for cancellation will be limited to the payments received.

GUEST NUMBERS: The number of persons occupying the accommodation must not exceed the maximum number specified for the selected property. You are not permitted to sublet or share the accommodation or allow anyone not listed on the booking to stay overnight. We reserve the right to terminate the booking without refund if these conditions are not met.

ARRIVAL AND DEPARTURE: Check-in time is between 4:00 PM and 7:00 PM on the day of arrival, unless otherwise agreed upon in advance. Please notify us if you plan to arrive outside of the designated check-in hours. On the day of departure, you must vacate the accommodation by 10:00 AM, unless otherwise agreed upon in advance. Failure to adhere to the specified check-in or check-out times may result in additional charges.

SECURITY DEPOSIT: A security deposit may be required prior to your arrival. This deposit will be held against any loss, damage, or additional cleaning charges incurred during your stay. Any damages or breakages must be reported to us immediately, and we reserve the right to deduct the appropriate amount from the security deposit. The security deposit, or any remaining balance after deductions, will be refunded within 14 days of your departure, subject to inspection.

PROPERTY CARE AND CONDUCT: You are responsible for the property and are expected to take reasonable care of its facilities and amenities. Any equipment, furniture, or other property should be left in the same condition as when you arrived. You must report any damages or breakages immediately. We reserve the right to charge for any excessive cleaning required or for the cost of repairing or replacing any items damaged through negligence or misuse.

You and your party are expected to behave in a considerate manner and to show respect towards the property, its surroundings, and other guests. Excessive noise, disruptive behaviour, or any illegal activities will not be tolerated and may result in the termination of the booking without a refund.

PETS: We regret that we cannot accommodate pets unless otherwise agreed upon in advance. Please contact us directly to discuss any pet-related requests. If permission is granted, all pets must be well-behaved and should never be left unattended on any part of the property or in the accommodation during your stay as this may stress the animal leading them to cause damage.

SMOKING: Smoking is strictly prohibited inside the accommodation or on any part of the property.

PROPERTY DAMAGE: Please report any damage to your accommodation promptly, and you may be held responsible for any loss or damage discovered after your departure.

PARKING: Onsite parking is available, but we are not liable for any damage or loss. Please lock your vehicles when unattended.

 EV CHARGING: We offer a shared overnight charging point for electric vehicles, but its availability and compatibility cannot be guaranteed. Charging fees will be automatically processed upon departure. Charging through internal 13-amp plugs is prohibited.

SECURITY: Lock doors and windows when the accommodation is unoccupied. Failure to return keys will incur replacement costs.

INTERNET: We provide complimentary Internet access, but it is not suitable for heavy streaming or gaming. Illegal activities are strictly prohibited.

LIABILITY: We do not accept any liability for loss, damage, or injury to you or your belongings during your stay, except where it is proven to result from our negligence.

You confirm that you and your guest party will fully familiarise yourself with these Terms and Conditions and the ‘Guest Handbook’ (provided to you on confirmation of your booking and available in the accommodation) and will comply with all instructions and advisories to always ensure your safety and enjoyment during your stay. 

We are not liable for equipment malfunctions or any resulting loss, damage, or inconvenience. Information about offsite activities and third-party services is for guidance only, and we assume no responsibility for their provision.

We recommend that you take appropriate insurance to cover personal belongings, as we cannot be held responsible for any loss or damage.

COMPLAINTS: If you have any complaints during your stay, please notify us immediately so that we can take appropriate action to resolve the issue. We cannot accept liability for any complaints received after your departure if we were not given the opportunity to address them during your stay.

USE OF HOT TUB: The hot tub is available for guests in Hammoon Manor Barn or the Appleyard, but not for those in the Walled Garden. By accepting these terms, you confirm reading the 'Hot Tub Disclaimer & Safety Rules' in 'Appendix 1', informing your guests, and ensuring their agreement. Using the hot tub is at your own risk, subject to the rules.

CHILDREN: Due to the rural setting with rivers and farming, the accommodation and grounds are not child friendly. Children under 18 must be always supervised by parents/guardians for safety. Caution should be exercised around hazards, barbecues, fires, wood burners (if used), and the hot tub. Supervision of children, babies, dogs, and those needing care is your responsibility.

DATA PROTECTION: We will process any personal information you provide in accordance with our privacy policy. By making a booking, you consent to this processing and confirm that all information provided is accurate.

SEVERABILITY: If any provision of this agreement is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalidity, illegality, or unenforceability of any provision shall not affect the validity, legality, or enforceability of any other provision of this agreement.

FORCE MAJEURE:  In these terms and conditions, "Force Majeure" refers to circumstances beyond our control, such as Acts of God, Fire, Flood, War, or Acts of Terrorism etc. If, due to Force Majeure, the property is not available or unsuitable for letting at the beginning of your booked time, we will not be considered in breach of contract. In such cases, we will provide a full refund of any fees, charges, and deposits paid in advance. We will not be liable for any other claims for loss or damage incurred by you.

GOVERNING LAW AND JURISDICTION: This contract shall be governed by the laws of England and Wales. You agree to submit to the exclusive jurisdiction of the English courts and agree that the contract made between us is made at our premises and that any proceedings or disputes between us shall be conducted in the County Court nearest to us.

These terms and conditions, along with any additional written correspondence or agreements, constitute the entire agreement between you and Hammoon Manor, superseding any previous understandings or agreements, whether oral or written.

APPENDIX 1

HOT TUB SAFETY RULES - Only registered guests are allowed to use the hot tub, with a maximum capacity of six persons.

DO NOT USE THE HOT TUB IF:

  • You or anyone has an infectious disease.
  • Alcohol, drugs, or medication (except with doctor's permission) have been consumed.
  • You or anyone is pregnant, obese, have heart conditions, blood pressure problems, circulatory problems, skin conditions, or diabetes (consult a doctor first).
  • You have just completed strenuous exercise.
  • Symptoms like disorientation, unconsciousness, or hyperthermia occur.

THE FOLLOWING ARE NOT PERMITTED:

  • Pets in the hot tub.
  • Use of drinking glasses (use provided plastic glasses).
  • Single bathers use or sleeping in the tub.
  • Drinking the water or allowing it to enter your mouth.
  • Children under 5 using the hot tub.
  • Children over 5 using the hot tub without adult supervision.
  • Use of the hot tub after 10:00 PM.
  • Damaging the hot tub or its accessories will result in charges.

GUIDELINES FOR PROPER USE:

  • Shower and use the toilet before entering.
  • Avoid using soaps or detergents in the hot tub.
  • Always have a minimum of two people in the tub, with at least one person aged 16 or older.
  • Test the water temperature before entering.
  • Do not jump or stand on the lid.
  • Watch out for slippery surfaces and use non-slip footwear.

FOOD AND DRINK:

  • Use provided plastic glasses, no glass in the hot tub.
  • Report any broken glass immediately.

CHILDREN AND PREGNANCY:

  • Extreme caution must be exercised to prevent unauthorized access by children.
  • Children under 5 are not allowed in the tub.
  • Children under 16 must be supervised by an adult.

 OPERATION:

  • Only use the designated control panel buttons.
  • Do not remove any parts from the hot tub.

REMOVING AND REPLACING THE COVER:

  • Secure the cover with all four clips when leaving.
  • Do not forcefully remove the lid or its clips.
